1. Your personal information
Personal information is anything that directly or indirectly identifies and relates to a living person, such as a name, address, telephone number, date of birth, unique identification number, photographs, video recordings (including CCTV) etc.
Some personal information is ‘special category data’ and needs more protection due to its sensitivity. This includes any information about an identifiable individual that can reveal their sexuality and sexual health, religious or philosophical beliefs, racial origin, ethnicity, physical or mental health, trade union membership, political opinion, genetic/biometric data. Personal information relating to criminal offences and convictions, although not ‘special category data’, is still sensitive in nature and merits higher protection.
2. Why do we need your personal information?
We may need to use some information about you to:
- Manage the administration of the Lord Mayor’s Dragon Awards and your application to the Awards;
- Communicate with you regarding your application and other activities surrounding the Lord Mayor’s Dragon Awards including press, events and filming where applicable;
- Building our relationship with you;
- Communicate any similar events and news we think may be of interest to you;
- Inform our evaluation of the Awards by sending you occasional surveys;
- help investigate any concerns or complaints you have about our services;
- check the quality of services; and
- to help with research and planning of new services.
Any personal data provided by you, for these purposes, using this website, will be processed by AwardStage (the ‘processor’) on behalf of the City of London, and in accordance with the City of London’s instructions, and their own privacy policy (https://www.awardstage.com/privacy-policy).
The personal data processed by the City of London, and by the processor, for the above-mentioned purposes, is done so on the legal basis of your consent. Should you wish to withdraw your consent, at any stage, please put your request in writing to the City of London. Unless you withdraw your consent, the City of London will continue to process your personal data for as long as you remain interested in the Lord Mayor’s Dragon Awards, and for longer periods in some instances, to maintain an accurate record of previous awards.
3. How the law allows us to use your personal information
There are a number of legal reasons why we will need to collect and use your personal information in different circumstances.

The law gives you a number of rights in relation to what personal information is used by the Lord Mayor’s Dragon Awards, and how it is used. These rights are listed below.
You can ask us to:
- provide you with a copy of the personal information that we hold about you;
- correct personal information about you which you think is inaccurate;
- delete personal information about you if you think we no longer should be using it;
- stop using your personal information if you think it is wrong, until it is corrected;

6. Who do we share your personal information with?
Your personal data is processed by the City of London in line with the purposes for which you provided it. This may result in the need to occasionally share your personal data with third parties in relation to the Lord Mayor’s Dragon Awards, such as in relation to film/media production. Where it is necessary to share personal data for these purposes, the City of London will ensure the appropriate technical and organisational safeguards are in place, with regard to the processing of personal data, and will ensure that personal data is not used by third parties for marketing purposes, without your consent.
We use third party websites including Mailchimp for newsletters for which you will have had to opt into; Survey Monkey for evaluation of the Lord Mayor’s Dragon Awards application process and Awards ceremony. Eventbrite for registration to our workshops , and doodle to schedule feedback calls and 1:1 session. We use these sites in accordance with their privacy policies (available on their websites).
The City of London will not share your personal data with third parties for any other purposes, unless legally obliged to do so. 8. Information outside of the European Union
The majority of personal information is stored on systems in the UK or EU. However, there are some occasions where your information may leave the UK/EU either in order to get to another organisation, or where it is stored in a system outside of the EU.
We have additional protections on your personal information if it leaves the UK ranging from secure ways of transferring data to ensuring we have a robust contract in place with that third party
9. How long do we keep your personal information?
We will retain all personal data collected in relation to the Lord Mayor’s Dragon Awards on the Innovation & Growth’s customer relationship management system. Your data will be held for a period of 3 years since the last activity we have with you. Following the 3 year period there will be a further 1 year where your record will be inactive after which time it will be deleted.
We will only hold your personal information for as long as it is necessary to fulfil our legal duties or business purposes.
